Reports to: Associate Chief, Clinical Quality and Patient Safety

Position Overview: 

The Patient Safety and Quality Program Coordinator is responsible for supporting ongoing needs related to MIT Health’s Clinical Quality and Patient Safety Program with the Quality and Safety team and associated MIT Health team members. This role identifies, manages, and coordinates cross-functional process improvement activities related to known safety vulnerabilities and priorities.  The position will be responsible for reporting and analytics for the dept.  As a member of the Clinical Quality and Safety team, this role works to support the delivery of safe and high-quality patient care. This role supports activities performed by the Chief and Associate Chief of Clinical Quality and Patient Safety, as well as the Quality and Safety team.

Principal Duties and Responsibilities*

  • Oversees the administration and support of MIT Health’s safety event reporting system.
  • Manages review and analysis of adverse event reports and manages follow-up with all significant adverse events. Identifies trends and collaborates with clinical teams to design strategies to prevent medical errors. Participates in follow-up action plans required to minimize patient safety risk. Provides feedback to safety reporters regarding investigations and corrective actions resulting from adverse event reports, as appropriate.
  • Applies MIT Health’s Equity-informed High Reliability Organization (HRO) concepts as the framework for event analysis, such as, sequence of reliability, continuous improvement, just culture, increased reporting of adverse events and near misses, and increased transparency.
  • Reviews and evaluates aggregate adverse events and other information to identify high-risk activities, procedures, and departments. Continually evaluates the adverse event reporting system for potential improvement.
  • Under the direction of the Chief of Quality and Patient Safety contributes to key design and functioning within designated projects/initiatives. Monitors and modifies project schedules and key deliverables.  
  • Under the guidance of the Chief of Quality and Safety, collaborates with senior staff and clinical and non-clinical staff on projects and provides support on tools, methods, and criteria for monitoring care delivery processes and outcomes and evaluating the effectiveness of changes
  • Gathers project information: schedules, data requests, issue logs, project plans, assignment tasks, project meetings, project tracking, and contributing to team communication
  • Works with the Quality and Safety team to understand and assist with tracking all work, tasks, and project assignments using the Smartsheet Platform. 
  • Contributes to project-related deliverables, including process workflow diagrams, PowerPoint presentations, status reports, and project plans/timelines
  • Coordinates the day-to-day activities of the Quality and Safety team, organizing and coordinating meetings, taking minutes, and maintaining records systems.
  • Completes quantitative and qualitative analyses to support the objectives of assigned projects and ensure completion of project objectives within agreed-upon timeframes
  • Provides data coordination and data entry services for quality improvement projects supported by the Quality and Safety team.
  • Composes, edits, and delivers written and verbal communications to key stakeholders (internal and external).
  •  Other duties as assigned. 

Minimum Required Education and Experience:

  • Education: Bachelor’s degree
  • Years of experience: Minimum of 2-3 years of patient safety, clinical quality, process improvement, or related work experience in a healthcare environment.
  • Skills:
    • Knowledge of safety reporting systems. 
    • Strong analytical and problem-solving skills. Ability to communicate effectively both orally and in writing. Interest and ability in working with data sets to display results according to goals.
    • Ability to clearly explain and follow standardized processes accurately and consistently.
    • Ability to coordinate, analyze, observe, make decisions, and meet deadlines in a detail-oriented manner. 
    • Ability to work with minimal oversight, as well as cohesively within a team.
