Reports to: Senior Manager, Clinical Operations

Position Overview: 

The Document Imaging Representative is responsible for all functions related to medical records inclusive of but not limited to; ensuring the privacy of PHI, accuracy of clinical and non-clinical document review and uploading in the Electronic Medical Record, performing department wide quality audits, and collaborating across the department/service areas as needed. This requires a high degree of accuracy to ensure subsequent retrieval of documents as possible based on defined criteria. The position provides peer training and ensures accuracy of document title and releases. 

Principal Duties and Responsibilities*

  • Provide Work Que Manager and other document management training to department workforce members as needed
  • Serve as the in-house document management expert for complex requests
  • Audit and provide training on document upload and management
  • Appropriately file scanned and loose documents into the appropriate patient's electronic medical records (EMR)
  • Audit Cerner EMR to ensure accurate scanning of documents
  • Point of contact and collaborates with the Medical Records Release vendor to meet the incoming requests for medical records
  • Monitor requests in the vendor system to ensure that all turnaround times are met
  • Collaborate with Office of General Counsel when requests require their review
  • Collaborate with MIT Health workforce to meet the needs of patients and families as it pertains to records
  • All other duties as assigned

Minimum Required Education and Experience:

  • High School diploma or equivalent
  • Minimum of two years of experience in medical records management; certified electronic health records preferred
  • Knowledge of medical terminology 
  • Strong understanding and adherence to compliance and privacy laws such as HIPAA regulations and health care facility confidentiality protocols
  • A high degree of accuracy to ensure subsequent retrieval of documents as possible based on defined criteria

Pay Range: $22.60 - $25.00 per hour, final salary determined by MIT’s compensation team based on the skills and experience of the person hired
